Our Bundle Updates feature is designed to help the parties track ad hoc changes made to the shared bundles after the initial upload is complete. It allows users to view the changes in one centralised location whilst providing a way to quickly export the documents if required.
A top-level folder titled 'Bundle Updates' will be created which will be broken down into Month > Day > Task. Each task folder is titled by the firm that requested the amendments followed by the relevant change (i.e. upload/insert, replacement or movement) e.g. ‘1. Party A – Inserts’. The task folders are populated with custom bundle entries of the new or amended documents (similar to how custom bundles appear) which are ordered by Bundle/Tab for ease of navigation as illustrated below.
Implementing the feature will slightly increase the time taken to complete tasks and therefore an additional charge would be incurred for the time taken to populate the relevant folders. This additional time will be included in a cumulative 'Bundle Updates' entry on the parties’ invoices each month.
Although we will endeavour to populate this for every request in the shared bundle, the feature is not implemented across all of our matters as standard so please can the parties include specific reference to the creation of a ‘Bundle Updates’ folder entry at the end of each instructional email to ensure the entries can be processed within the overall task.
Please note the following in relation to the implementation of Bundle Updates:
- This is a shared cost we would require a joint instructional email in order to activate the feature.
- Each sub-folder will be titled in accordance with when a request was completed, not necessarily in the order they are received. By way of example, if an email requesting inserts is sent before an email requesting replacements however, the replacements are actioned first, the replacements folder will sit before the inserts.
- We are unable to backdate the activation and create entries for tasks retrospectively. The feature can activated from the point at which we receive the joint instruction.
