Summary

Documents can be sent to Opus securely by using Opus 2 Transfer ('Transfer'). Once documents have been sent on Transfer, relevant instructional email will need to be sent to Opus as we do not actively monitor Transfer activity. 

We've set out guidance on how to upload files to Transfer below.

To use Transfer you will first need to request and register an account, more information on how to do so can be found here.

Uploading Documents

  1. Select Correct Channel - Once logged in, ensure you are on the correct channel by reviewing the Channel panel on the left, with the purple highlighting showing the active channel: 
    1. Single Channel - If users have access to only one channel, this should be selected by default. 
    2. Multiple Channels- If users have access to multiple Transfer channels, click the relevant channel name to ensure the documents are being uploaded to the correct location. 
  2. Uploading Documents - Within the relevant channel page, press Upload Files in the top right or simply drag the files into the middle of the channel (purple dotted lines should appear if in correct location). The Add Files window should appear:
    1. Select Files - Press Select Files to open File Explorer and select the relevant files or zip folders. 
      1. Selecting Multiple Files - You are able to hold CTRL + click individual files or SHIFT + highlight multiple files, to add files in bulk. 
      2. Folders - To upload a folder of documents, it must be a zip folder as you cannot select non-zip folders.
    2. (Optional) Message to include with the files - Users are able to write a message to confirm the contents of the zip to assist with processing, i.e. please see bundle A, B and C, or please see bundle K, part 1 to 5etc. 
      1. Message Contents - The message should describe the contents only and should not include any instructions on how to process the task - this should be included in the instructional email sent to Opus. 
    3. Retention Time - For security purposes, files have an expiry time which by default is 1 week and can be amended by selecting a different option from the dropdown. 
      1. Expired Entries - Once expired, the Transfer entry still appears in the channel however the files are deleted and cannot be downloaded. 
      2. Re-upload - If the files are required once they have expired, they would need to be re-uploaded so please ensure you send the associated email instruction to the Solution Operations team with enough time to be downloaded. 
      3. Extending Retention - Once the files are sent, hover over the relevant entry row and press the download icon that appears to the right of the entry and select Extend Retention. The Extend Retention Time window should appear, where the Additional Retention Time dropdown can be changed to extend the expiry time.   
    4. Notifications - Tick or untick Send Email to choose whether others in the channel will receive an email notification of new files being uploaded. Opus do not receive this email.
    5. Upload - Press Upload to begin the file transfer. A progress bar should appear and then disappear once complete. 
User can send up to 4GB in one transfer however please ask Opus if you need to send something larger.
