Summary

The Reorder, Sort, Move & Properties tools allow users to quickly organise Custom Bundles (and their associated entries), tagged documents and privately uploaded documents to suit the needs of the legal teams.

We've set out how to use the Reorder, Sort, Move & Properties tools below. 


Reorder

The Reorder tool can be used to individually change the order of individual Custom Bundle folders, Custom Bundle entries, tagged documents and privately uploaded documents ('item') within the folder it is housed in.

  1. Open Reorder Tool - Within the Documents page, right click on the relevant item and select Reorder.  
    1. Multi Select - On your keyboard hold either CTRL + click to select multiple individual items or SHIFT + click to select a range of items.
  2. Apply Reorder Action - Use the following options to reorder the item:  
    1. Up / Down - Move the item up or down one place. 
    2. Top / Bottom - Move the item to the top or bottom of the folder. 
    3. Move 10 Up / Move 10 Down - Move the item up or down 10 places.
    4. X Distance - Populate the Distance input box with a + (moving up) or - (moving down) prefix, and the number of places the item should be moved. 
      1. I.e. +10 to move 10 places up, or -15 to move 15 places down.   
  3. Apply to Another Item - Whilst the Reorder window is open, users can select a different individual item to re-order if required. 
    1. Multi Select - On a secondary item selection whilst the tool is open, Multi Select is not available. 
  4. Save the Order - Press Apply Ordering in the Reorder window and on the confirmation window press Yes and wait for the Reorder tool to close, to save the order.
The Reorder tool cannot be used to reorder shared bundle content or the order of the Document Tags themselves. 

Sort

The Sort tool can be used to change the Sort order of Custom Bundle entries, tagged documents and privately uploaded documents ('item') within the folder it is housed in.

  1. Open Sort Tool - Within the Documents page, right click on the relevant item and select Sort
  2. Choose Sort Option - Use one of the following options to sort the items (Advanced is the most flexible option to use). Once selected in the Sort Order window, the documents in the folder should update to preview the applied order:

    The metadata column headers within the documents index can be toggled to quickly change the order of the bundle before saving. 
    Sort by DateSort based on the Date metadata field.Any documents without a Date value assigned will be sorted to the bottom of the folder. 
    Sort by NameSort based on the Doc. Name metadata field.NA
    Sort by Page NumberSort based on the Page metadata field.Only applicable if sequential pagination is applied. 
    Sort by Date AddedSort based on the Upload Date of the document.Will always use the date of when the original document was uploaded (i.e. if a custom bundle folder, it will not use the date the entry was added to the custom bundle).
    Folder/Files (A/Z)Sort based on the Folder or underlying Filename.If subfolders are included in the folder, they will be sorted to the top.
    The Filename is the name of the underlying file - not viewable on the platform. 
    Load Order from CSVSort based on the order of a CSV containing Magnum ID values.Upload an Excel CSV file containing Magnum ID values of documents in a specified order.  
    AdvancedSort based on any combination of up to three viewable metadata fields.Sorting Across Sub-folders - Sort can be applied across sub-folders within the selected folder to sort all documents within a structure by ticking Apply to sub folders (off by default).
    Including Folders in Sort - Folders can be included in the sort by ticking Include folders in sort (off by default).
    1. Advanced Example - Users can ensure their folders are sorted by Bundle and Tab to replicate the order of the shared hearing bundle folders. To do so: 
      1. Choose Advanced - Select Advanced from the Sort Order window. 
      2. Choose Metadata Fields - Change the Primary / Secondary / Tertiary metadata dropdowns to choose the metadata fields and the order they should be applied in the sort, i.e. Primary = Bundle and Secondary = Tab.   
  3. Save the Sort Order - Press Save Ordering in the Sort Order window and on the confirmation window press Yes. Wait for the Done: progress counter at the bottom of the tool to stop to ensure all items in the sort are saved and then close the window. 

The Sort order is only applied to a single folder level by default. If there are multiple subfolders within the selected folder, the Advanced option offers the ability to sort through the sub-folders. 

Move

The Move tool can be used to change the location of Custom Bundle entries, tagged documents and privately uploaded documents ('item') within the folder tree.

  1. Open Move Tool - Within the Documents page, right click on the relevant item and select Move.  
    1. Multi Select - On your keyboard hold either CTRL + click to select multiple individual items or SHIFT + click to select a range of items.
  2. Apply Move Action - Either input the folder name into the Find tool or click though the folder tree to locate the destination. Select to highlight the relevant folder and press Apply to save the move. 
Custom Bundle folders / entries can only be moved to other Custom Bundle folders and original private documents can only be moved to original document private folders. 

Shared bundle content cannot be moved by users. 

Properties

The Properties tool can be used to view the document & page count of any folder or metadata fields of any document. 

  1. Open Properties Tool - Right click on the folder or document and select Properties from the menu. 
  2. Review Properties - The properties window should appear depending on the selection: 
    1. Folder - Confirms number of documents (Contains X Items) and number of pages (Total pages: X). 
    2. Document - Displays the metadata values applied, detailing the underlying field names which may look slightly different to the metadata column headers as they are backend system values.
