Summary

Note Tags can be applied to Annotations (Notes) which will apply a category, issue or grouping to the notes, allowing for easier review and analysis at a later date.  

We've set out how users can create, edit and delete a Shared Tag or a Personal Note Tag below. 

A Shared Tag can be both a document and / or a note tag depending on the settings applied to the tag.

Creating Note Tags


  1. Open Manage Tags - Within the Documents page, from the grey toolbar press Manage Tags. From the Manage Tags window, you are able to Add, Edit or Delete your tags. 
    1. Shared Tags or Personal Note Tags - Click on the tab to chose which type of tag to manage:  
      1. Shared Tags - Viewable by all users in the workspace and on any notes they have access to (if applied). 
      2. Personal Note Tags - Only viewable to the user who created the tag. Other users will not be able to see the tag in Manage Tags, and recipients will not be able to see a Personal Note tag applied to a note. 
        1. Personal Note Tags cannot be shared at a later date.
  2. Add Tags - Within Manage Tags, press Add in the bottom left to open the New Tag window. Within the New Tag window, you are able to customise the set up of your new tag:
    1. Name - Input the descriptive name of the new tag. These should be unique. 
    2. Nest Under - Choose if the tag should be housed in a sub-tag structure
    3. Shortcut Key - Not available when tagging notes (only available when tagging Documents).  
    4. Icon - Chose the colour to apply with the tag (colour option should be selected for a Note Tag as it is more functional than the silhouette). 
    5. Applicable To - Choose if the tag can be applied to Documents and / or Notes.
    6. Save - Press Save to finalise the tag. 

Editing & Deleting Note Tags

Once a Note Tag is created, users are able to edit or delete the tag in line with the following: 

  1. Edit Tags - Within Manage Tags, select a tag and press Edit to open the Edit Tag window. From here you can amend the customisable settings of any tag you have made. 
  2. Delete Tags - Within Manage Tags, select a tag and press Delete and select OK from the subsequent pop up to permanently delete the tag and remove it from any documents it was applied to.
