Summary
Export Index is a tool on the Documents page that allows users to export a Word (.docx) or Excel (.xlsx) index of the viewable metadata columns for documents contained in a folder.
Exporting an Excel Index is useful when making changes to the bundle as it is the most up-to-date and accurate metadata. The Magnum ID (a unique ID assigned to all documents during the upload process) field should be included in the index export as it is the most efficient way to instruct Opus to make changes.
We've set out how to export an index for both the Word and Excel versions below.
More information on the View tool can be found here.
Exporting an Index
- Adjust Viewable Metadata Columns - Ensure the metadata columns required in the export are viewable on the Documents page using the View tool.
- Run Export- Right click on the relevant folder and select either:
- Index (.docx)- Produces a Word index. Includes all subfolders by default.
- Once selected, click the hyperlink in the Ready window to begin downloading the index.
- Index (.xlsx)- Produces an Excel index. Option to include only the documents in that folder or include all subfolders. Includes an additional metadata column for the Folder Path.
- Once selected, press This folder only (does not include any subfolders) or All items including subfolders (includes subfolders and documents within) and then Export.
- The export should begin to run and automatically download one complete.
- Index (.docx)- Produces a Word index. Includes all subfolders by default.
To make an index of a custom set of documents, first add them to a custom bundle or tag using the Bulk Organise tool and then export an index from there.
