Summary
Document Tags once created, can be applied to documents which will assign a category, issue or grouping to the documents, allowing for easier review and analysis at a later date.
A Document Tag will always be a Shared Tag, which can also be a Note Tag depending on the settings applied to the tag and will be visible to all users in the workspace. Users cannot create private Document Tags.
More information on Note Tags can be found here.
We've set out how users can create and manage Document Tags below.
Creating Tags
- Open Manage Tags - Within the Documents page, from the grey toolbar press Manage Tags. From the Shared Tags tab of the Manage Tags window, you are able to Add, Edit or Delete your tags.
- Add Tags - Within Shared Tags, press Add in the bottom left to open the New Tag window. Within the New Tag window, you are able to customise the set up of your new tag:
- Name - Input the descriptive name of the new tag. These should be unique.
- Nest Under - Choose if the tag should be housed in a sub-tag structure.
- Shortcut Key - Not available when tagging notes (only available when tagging Documents).
- Icon - Chose the colour to apply with the tag (colour option should be selected for a Note Tag as it is more functional than the silhouette).
- Applicable To - Choose if the tag can be applied to Documents and / or Notes.
- Save - Press Save to finalise the tag.
The Solution Operations team can create tags in bulk and are able to provide best practice advice on how to implement Tag structures if a large number of Tags are required.
Editing & Deleting Note Tags
Once a Note Tag is created, users are able to edit or delete the tag in line with the following:
- Edit Tags - Within Manage Tags, select a tag and press Edit to open the Edit Tag window. From here you can amend the customisable settings of any tag you have made.
- Delete Tags - Within Manage Tags, select a tag and press Delete and select OK from the subsequent pop up to permanently delete the tag and remove it from any documents it was applied to.
More information on how to apply a Document Tag can be found here.
