Summary

Alongside the documents, we will need to be provided with an Excel load file, listing out the metadata to be applied to the documents and ensuring there is an individual row for each document provided, in the correct format to ensure it can be efficiently and accurately applied. 

We've set out the load file formatting requirements below. 


Formatting Requirements


  1. Required Fields - For Opus to accurately process the upload, the following three fields must be included: 
    1. Filename - Must match the Filename of the corresponding document exactly as Opus use this value to map the metadata. Does not appear as a viewable field on the platform. 
    2. Bundle - Confirms the bundle (and usually folder location) the document should be housed in.
    3. Tab - Confirms the sort order of the document within the folder. 
  2. Additional Fields - Whilst we recommend including only the relevant metadata fields to avoid cluttering the workspace, the parties are able to generally include any fields they would like in addition to the required three. We've included the following examples which are most often included:  
    1. Doc. Name - Descriptive value of the document. Will be the Filename if no value is provided.
    2. Date - The date value of the document. Should be formatted DD/MM/YYYY or DD/MM/YYYY hh:mm and if a value is unknown, include '00'. for example July 2016 would be 00/07/2016. Can be left blank if no date is needed. 
      1. Sort / Family Date - To keep families together when sorting a chronological run of documents (but also retaining the individual document Dates), the Date of the parent can be assigned to all documents in the family within a Sort / Family Date field.
    3. Document ID / Exhibit ID / Disclosure ID - Any form of unique ID value. Can also be used for hyperlinking documents. 
      1. If the Filename is the unique ID, a separate unique ID field should also be included to ensure it is applied as metadata.  
    4. Parent ID - A family grouping to show relationships between documents. The unique ID of the parent document should be applied to all documents in the family.
